Policies and Terms & Conditions

Emergency policy
It is a priority for us to provide a safe working environment for the children attending our workshops. To reduce the chance of any accidents occurring we will conduct regular risk assessments and health and safety checks on the space and equipment. We both hold paediatric first aid certificates that will be updated every three years and there is a basic first aid kit in the workshop.
In case of emergency, the following steps will be followed:
  • We will reassure the children and ensure they are safe from any further harm.
  • We will comfort the child whilst administering any first aid and call 999 if at all necessary.
  • We call the parents of an injured child as soon as the child is treated and/or the emergency services are on their way. If the child is going to hospital the parents will then be able to meet us there. For a less serious injury we will discuss with them whether they need to collect the child.
  • If the injured child requires hospital care we will contact the parents of the other children as the workshop session may have to end earlier due to adult/child ratios. One of us will accompany the injured child to hospital while the other stays at the workshop to await the collection of the remaining children.
  • All accidents and incidents will be recorded in the accident book and parents will be asked to sign the report, parents will also be provided with a copy of this. The accident book will be kept for at least 21 years.
  • Parents emergency details will be kept on our drive and be accessible in the workshop.
·      If there has been an emergency that has affected the property or injured any people, we will inform the local authority.
  • In the event of an emergency closure we will call each parent to arrange pick up. Failing this we will call the child’s second emergency contact. Some of the reasons we may need to close could include: power failure, fire damage, flooding, snow, sickness, pandemic illness, no heating or water or a bereavement.
We will require written permission from parents giving consent that we can provide emergency treatment on their child if required.
 
 
Complaints procedure
We hope you will always be happy with the service we provide. If you do ever have any concerns, we will always welcome you to discuss these directly with us. We are happy to talk out of hours at a time that suits you. We will always listen to any issues you have and try to address them appropriately with you and your child in mind. Complaints can also be made in writing via email to [email protected], we will respond within 7 days to any complaints made in writing.
 
Evacuation
In the event of an emergency where we have to evacuate the building, for example fire, flooding or gas leak, we will follow the evacuation procedure. A smoke alarm will be fitted in the workshop space and we will have fire extinguishers. We will give a briefing on emergency evacuation procedures at the beginning of the workshop sessions.
  • In the event of an evacuation situation, we will gather all the children and safely make our way out of the front door.
  • The escape route will always be kept clear.
  • We will take our mobile phones with us where possible to contact the emergency services and the parents. Otherwise, we will ask a local resident or business to call for help.
  • We will go to the evacuation point located within the industrial estate behind the space.
  • All children will be made aware of the escape route.
 
Failure to collect a child
Please stick to designated pick up times as arranged when booking the workshops. If there is a genuine emergency reason for being late to collect your child please inform us immediately (we will provide contact numbers when you book the sessions).
Repeated late collection of a child may lead to losing your space on the course.
If a parent fails to collect a child and we have had no contact to explain, we will phone the parent and emergency contact. If we are unable to get through, we will wait 30 minutes and try to call again. A third attempt will be made 30 minutes later, if no contact is made, we will contact Children’s Social Care and the police and follow the advice given.
Any concerns regarding late collection of a child will be recorded in our safeguarding documentation and we will follow procedures as outlined in our safeguarding policy.
 
Inclusion
Our ethos is ‘Art for all’ and we believe that every child, parent and adult participating in our workshops should be made to feel welcome and given the opportunity to thrive in art education. It is essential to value and respect all cultures, languages and religions and be an inclusive space for everyone regardless of race, gender, ethnicity, sexual orientation, disability or social background.
We will treat each child attending our workshops as an individual and promote a respectful and kind environment from all participants. We will differentiate and adapt our teaching according to need, so that all can access the workshops. We will discuss and respond to a diverse range of artists, to create an inclusive curriculum.
We will not tolerate any form of discrimination and will challenge any discriminatory remarks or behaviour.
 
Information sharing
When you book a course, we will ask if you would like to subscribe to our mailing list to get information about upcoming workshops and events. You can choose if you wish to subscribe or not. We will participate in GDPR data protection training annually. We will not share your contact details with any third parties.
 
Behaviour management
We understand that all students learn differently and that behaviour is a form of communication. We will promote an inclusive, respectful and kind atmosphere which is conducive to learning. We will discuss our behaviour expectations with the children attending our workshops at the beginning of a session or course. These will include listening, following instructions and being respectful to everyone at the workshop. We will also expect equipment, the space and materials to be used with respect and all children to participate in some of the tidying up at the end of a session.  If a child is finding it difficult to follow our expectations we will have a quiet 1:1 discussion with them to remind them of our expectations and explain why their behaviour is not acceptable, we will also have a time out area where students can take time to reflect or a movement break. If further disruption persists we will contact parents to discuss additional strategies. If after further strategies have been employed, the child is still struggling to follow expectations they may lose their place on the course. This is a last resort, we will endeavour to engage all students using our extensive teaching experience of managing behaviour.
 
Illness and infection
Please notify us of any health conditions or allergies that your child has when booking. If your child is unwell and will not need collecting from school to attend the workshop please let us know. Unfortunately, if your child is absent from a session we are not able to provide a refund as the space cannot be allocated to another participant.
To reduce the risk of infection to other participants, we ask that any child with vomiting/diarrhoea symptoms or other infectious illnesses does not attend the sessions for at least 48 hours after. 
 
Record Keeping
We will keep secure records on our google drive. These will include: booking forms and contact details; specific needs of participants such as SEND or medical; safeguarding records and incident reports; accident or illness reports; photographs of children’s work to be used for promotion; workshop planning and participation. This information is password protected and the google drive is only accessible for us. In line with GDPR, you can request to see any information stored about yourself or your child. Information will only be shared to a third party in the case of a safeguarding and child protection referral.
 
Use of mobile phones and cameras
Photos of children’s art work and the creation of the work will be taken during sessions to use on promotional materials such as our website, Instagram and facebook account. If you specifically would not like your child’s work photographed please let us know in advance.
No photographs of children’s faces will be taken unless for a specific project for which we will contact parents/carers for consent.
We would like all participants’ work to be included in the half termly exhibition as a celebration of creativity and skill, if this is something you would not like to participate in please let us know.
 
Health and safety
We will conduct and regularly update risk assessments for the space and all equipment we use. All electrical equipment will be PAT tested. When collecting and escorting children to the space from school we will provide high visibility vests and cross roads at pedestrian crossings.
Good hygiene will be encouraged and children will be reminded to wash their hands after working with the art materials. Hand soap and paper towels will be provided in the toilet and workshop space. Any materials or processes requiring additional safety precautions (mainly for older children) will be risk assessed and the health and safety discussed prior to use.
We will have an annual health and safety certification conducted by an external provider.
 
Equal opportunities
Presently, the workshops and general running of the project is solely conducted by Jamie and Louise. Should we look to expand in the future we will ensure to follow the equal opportunities act.
 
Fees and payment
Full payment must be made when booking using our booking app Bookwhen. We are unable to reserve spaces on courses without booking. Workshop sessions and block bookings are non-refundable. We have included our research below showing value for money in terms of pricing versus time.

Children’s Sessions (e.g., Afterschool / Homeschool / GCSE-A Level)
· MAKE pricing: £16–£25 for 1h 45min
· Hourly rate: ~£9–£11/hr
· Competitors: £62.50/month for 4x1h sessions = ~£15.60/hr
 ‘Make’ offers better time value and more teaching time per session at a similar or lower rate.

Adult Sessions
· MAKE pricing: £26 for 1h 45min
· Hourly rate: ~£14.30/hr
· Competitors: £25–£40 for 1.5–2hr sessions
‘Make’ pricing is on the lower end while offering nearly 2 hours — excellent perceived value.
Additionally, we will be offering 2 free spaces per children’s afterschool sessions to disadvantaged families and subsidised sessions for outreach.

Staff to child ratio
3-8 years requires staff ratio of 1:8
8+ years requires staff ratio of 1:10 – 1:20
 
Food and drink
Please note we are nut free space. If your child would like to bring a healthy snack to eat during the session then we have a short refreshment break. We will provide drinking water and cups.
 
Risk assessment
Regular risk assessments will be conducted regarding the workshop environment and the equipment used. Risk assessments will be updated if the space is modified or new equipment is introduced.
 
Communication
We will primarily communicate with parents and participants via email. We will use contact phone numbers in rare events of emergencies. We will provide parents with contact telephone numbers when booking the sessions, otherwise you can communicate with us via email [email protected]
 
Staffing
We are currently only staffed by Jamie and Louise who will jointly design, plan and deliver the workshops as well as taking responsibility for the running of ‘Make’. If we expand at a later date and employ further contributors we will update this page.
 
Lockdown
If we are unable to provide sessions due to Covid-19 or a similar pandemic lockdown, online sessions will be offered instead.
 
Accessibility
We aim to make our space and workshops as accessible as possible. We will have ramps and wheel chair access and rails in the bathroom.
