Booking Terms & Conditions
Effective from September 2026
These Terms & Conditions apply to bookings made with MAKE ART2DAY CIC (MAKE) for workshops, courses, holiday activities, afterschool sessions, adult workshops, private sessions, parties and 1:1 tuition. By making a booking, you confirm that you have read and accepted these Terms & Conditions and any relevant MAKE policies supplied or made available to you.
1. BOOKINGS & PAYMENTA place is only confirmed once the booking has been completed and the required payment has been received. Bookings are normally made and paid for in advance through our booking system. Private bookings, parties and 1:1 tuition may be paid by invoice.
The person making the booking is responsible for supplying accurate contact, medical, allergy, SEND and other information relevant to safe participation.
2. CANCELLING A WORKSHOP OR COURSETo cancel, email [email protected]. The date we receive the cancellation will be treated as the cancellation date.
More than 14 days before the workshop or course begins: we will normally offer a refund or credit, less any reasonable booking, payment-processing or administrative costs that MAKE cannot recover.
14 days or less before the workshop or course begins: bookings are normally non-refundable because the place has been reserved, staffing and materials may have been committed and the place may not be possible to resell. If MAKE is able to resell the cancelled place, we will take this into account and may offer a refund or credit, less reasonable costs or losses.
Once a course has started: the booking is for the course as a whole. If you withdraw part-way through, unused sessions are normally non-refundable. We will nevertheless consider whether the place can reasonably be resold and the costs or losses MAKE has actually incurred.
Nothing in these terms affects your statutory consumer rights.
3. MISSED SESSIONS & ILLNESSIf you or your child cannot attend because of illness, holidays, school commitments, transport problems, timetable changes or other personal circumstances, the session is normally non-refundable. We cannot guarantee that a missed session can be transferred to another date or course.
For afterschool sessions where MAKE collects a child from school, parents/carers must tell us as soon as possible if the child will not be attending. If we are not informed of a child’s absence from school this can create a delay when collecting the other children which impacts the beginning of the workshop session.
Children and adults who are too unwell to participate safely should not attend. Ordinary illness does not automatically entitle the participant to a refund because the place has been reserved. Serious or prolonged exceptional circumstances may be considered individually.
4. TRANSFERRING A BOOKINGPlease contact MAKE before transferring a booking to another person. Children's places cannot simply be given to another child because MAKE requires the correct parent/carer contact details, consent, medical and safeguarding information. Where possible, we will try to accommodate a transfer with sufficient notice.
5. CANCELLATION OR CHANGES BY MAKEIf MAKE cancels a workshop and cannot provide the booked service, we will normally offer an alternative date, credit towards another MAKE workshop, or a refund for the service we have been unable to provide.
If part of a multi-session course is cancelled, any refund or credit will normally relate to the affected session rather than the whole course.
MAKE may make reasonable changes to workshop content, materials, tutors, timings or activities. A change that does not materially alter the service booked will not normally entitle the participant to a refund. If a significant change materially affects the service purchased, we will contact affected customers and offer an appropriate solution.
MAKE is not responsible for consequential expenses such as travel or childcare costs except where the law requires otherwise.
6. LATE ARRIVAL, BEHAVIOUR & SAFETYLate arrival does not entitle the participant to additional time or a partial refund. For children's workshops, MAKE may refuse admission where substantial lateness would create a safeguarding, supervision or significant disruption issue.
Participants must behave safely and respectfully towards staff, other participants, equipment and the premises. MAKE will use reasonable support and behaviour-management strategies with children.
If behaviour creates a serious or continuing risk, significantly disrupts the workshop or prevents safe delivery, MAKE may require the participant to leave or be collected. In serious or persistent cases, MAKE may end a participant's place. Any refund will be considered in light of the services already provided, the circumstances and MAKE's reasonable losses.
7. REGULAR 1:1 TUITION & GCSE/A-LEVEL SESSIONSRegular bookings - including weekly GCSE, A-Level, portfolio and other ongoing 1:1 tuition - are treated as an ongoing reserved teaching slot rather than a series of separate one-off bookings.
Regular 1:1 tuition must be billed monthly in advance. The monthly invoice will cover the sessions scheduled for that month in accordance with the agreed regular timetable.
Regular tuition will normally be consistent with school term times. Sessions will be planned around the relevant school/MAKE term dates and agreed school holidays unless a different arrangement has been confirmed in advance.
The same weekly day and time will normally be reserved for the student throughout the agreed period. Because MAKE keeps this time unavailable to other students, regular bookings require two weeks' written notice to end the arrangement.
If a student misses a scheduled regular session because of illness, school commitments, holidays or other personal circumstances, the session remains chargeable and is not automatically carried over, refunded or deducted from the following month's invoice.
Where sufficient notice is given, MAKE may try to rearrange an individual session subject to tutor availability, but alternative sessions cannot be guaranteed. Exceptional circumstances will be considered individually.
If MAKE cancels a regular 1:1 session and cannot rearrange it within a reasonable period, the affected session will be credited or refunded.
One-off 1:1 sessions are paid in advance. We ask for at least 48 hours' notice to rearrange a one-off session. With less than 48 hours' notice the session will normally remain chargeable because the tutor's time has been reserved.
8. PARTIES & PRIVATE BOOKINGSParties and private workshops reserve a particular date and time exclusively and may involve additional preparation, staffing and materials. Specific payment and cancellation arrangements will be confirmed when booking.
Any retained payment or cancellation charge will reflect the notice given, costs already incurred, work undertaken and MAKE's reasonable loss. Where MAKE can resell the date or otherwise reduce its loss, this will be taken into account.
9. MATERIALS, BELONGINGS & PHOTOGRAPHYUnless stated otherwise, normal art materials required for workshops are included in the booking price. Participants should take reasonable care of personal belongings. MAKE cannot accept responsibility for loss or damage except where caused by MAKE's negligence or where liability cannot legally be excluded.
Photography of children's faces for promotional purposes will only take place where appropriate parent/carer consent has been obtained. Please refer to the MAKE Policies & Safeguarding document for full photography and safeguarding arrangements.
10. CONSUMER RIGHTSNothing in these Terms & Conditions is intended to exclude or restrict statutory rights under UK consumer law.
Certain bookings for leisure activities taking place on a specific date or during a specific period may be exempt from the standard 14-day cancellation right that applies to some online purchases.
Our cancellation terms reflect MAKE's limited workshop capacity and the costs and lost income that may arise when a reserved place is cancelled. We will act reasonably and take account of services already supplied, costs incurred and whether a place can reasonably be resold.
